On Wednesday September 20, 2023, the Conference Registration area is open from 4:00 pm - 9:00 pm. You will be able to pick up your materials needed for the conference in advance.

Please make sure you join us for our Welcome Reception from 7:00 pm - 9:00 pm where cocktails and hors d’oeuvres will be served while you mingle with your peers. This event will be held at the Walt Disney World Swan Convention Center.

Yes, coordinate with the person that booked your company’s registration and they can make the change.

You may cancel your conference registration for a full refund before September 20, 2023. For cancellation on or after that date, the full registration fee will be applied as a credit to your customer account with VAI.

The Prevail 2023 discounted rate at Walt Disney World Swan Resort starts at $265.00/night. Please note there are limited rooms at the discounted rate and the cutoff date for this rate is Thursday, August 17, 2023. Once inventory is booked, you may still be able to reserve your room, but at a higher rate.

Should you need to cancel this reservation, your individual deposit and the resort service package is refundable if notice is received at least five (5) days prior to arrival and a cancellation number is obtained. Cancellations may be made by calling the hotel directly at 800-227-1500 or 407-934-4000, ext. 2300, or by email at grouprez@swandolphin.com.

Mandatory Resort Service Package
Please note the mandatory $40 per day Resort Service Package includes:

• Unlimited domestic long distance and local calls,
• Complimentary bottled water replenished daily, high speed internet access,
• Unlimited admission to the fitness centers featuring the WestinWORKOUT ®,
• $30 off spa services of $175 or more at The Mandara Spa during each day of your visit,
• Complimentary 30-minute Swan Paddle Boat ride. This excludes all resort and sales taxes. The current tax percentage is 12.5%. The package will be charged at the time the deposit is applied.

Yes, you will be able to book up to 3 days prior or post-conference at the same discounted rate starting at $265.00/night. Please note, this offer is based on hotel availability and on a first-come, first-serve basis. Once inventory is booked, you may still make a reservation, but at a higher rate.

Attendees are invited to bring guests to the Prevail 2023 Customer Appreciation Dinner but must register them prior to attending.

Yes, it’s a short walk from the Conference location to the Customer Appreciation Dinner, hosted at Epcot®. We will provide additional options for those who prefer an alternative transportation method, including a water taxi and private bus transportation. The water taxi offers access from the Disney resorts’ dock, running approximately every 20 – 25 minutes to and from Epcot® and Disney’s Hollywood Studios™. You can also take a leisurely stroll along a series of walkways that will also lead you to the entrance of these two theme parks.
